Under the general direction of the Manager of Computer Operations, provides routine and emergency switchboard communication services within the hospital and its satellite facilities. Manages switchboard response time by monitoring the calls waiting number on each console and requesting callers to hold any time the call waiting number is 4 or greater. Responds to all emergency situations as priorities; utilizes the correct procedures for all codes and emergency calls.
Provide routine and emergency switchboard communication services within the hospital.
Notify the telecommunications technician on a â��statâ�� basis in the event of switchboard malfunction or failure; monitor problems with incoming/outgoing trunk lines and tie lines.
Maintain an updated book of schedules of on-call personnel assigned to the pocket pager system, as well as the, digital paging system and use appropriate protocol for contacting the correct on-call personnel.
Keep log pertaining to contacting on-call personnel with names, dates and times of contact.
Provide personalized telephone service to the physicians, screening their calls, connecting them with requested calls and numbers and contacting them by means that they have requested.
Monitor fire, security, and safety alarms and follow appropriate and accurate policies.
Maintain up-to-date knowledge of all EPP policies and procedures.
Respond to code or in-house 911 phone on a top priority basis, taking information from the caller and following the appropriate emergency procedure.
Dispatch security and shuttle drivers via two-way radio system.
Monitor main entrance camera, call system, and garage call system.
Print and distribute data reports for various customers.
Adhere to the CHN policies. Assign user-access appropriate to userâ��s job responsibilities.
Demonstrate knowledge of telephone etiquette: answer telephone promptly â�� introduce self and location. Use friendly tone of voice. Answer caller questions tactfully. Refer calls to proper party. Promptly transfer call.
Collect and update information regarding hospital departments including their location, telephone number, voice mail, and FAX machine. Utilize this information to extend callers to the correct destination.
Level 2 â�� Proficient (in addition to above duties)
Prepare forms necessary to unit management.
Demonstrate ability to prioritize tasks according to urgency. Develop a routine that allows for maximum use of time. Exhibit ability to effectively multitask.
Level 3 â�� Subject Matter Expert (in addition to above duties)
Participate in quality improvement measures within the department.
Support the Department Manager/Director in revising policies and procedures.
Required: High School Diploma or General Education Diploma (G.E.D.)
Preferred: Six months switchboard experience.
Required: Team building, problem solving, critical thinking, coaching and mentoring, strong interpersonal communication skills; must be able to work under time-critical and stressful situations. Must have effective oral communication skills.
Preferred: Knowledge of PBX switchboard; basic computer skills.
Required: Must be able to work variable shifts, holidays and/or weekends.
Preferred: Customer service experience. Bilingual English/Spanish
